QuickBooks Integration Terms of Use
Effective Date: September 4, 2026
These QuickBooks Integration Terms of Use (“Terms”) govern the use of any connection, application, workflow, or integration through which Alcorn Financial, LLC (“Alcorn Financial,” “we,” “us,” or “our”) accesses or interacts with a client's authorized QuickBooks Online account (“Integration”).
By authorizing or continuing to use the Integration, the client or authorized representative (“Client”) agrees to these Terms.
These Terms relate specifically to the Integration. They do not replace any engagement letter, service agreement, or other agreement governing bookkeeping or other professional services provided by Alcorn Financial.
1. Purpose of the Integration
The Integration is designed to assist Alcorn Financial in performing authorized bookkeeping, accounting-support, financial-operations, research, validation, document-management, and related services for Client.
Depending on the applicable engagement and technical configuration, the Integration may be used to retrieve, review, compare, organize, process, validate, or, when specifically authorized, transmit or update information within QuickBooks Online.
The Integration is an operational tool used in connection with Alcorn Financial's services and is not a standalone accounting product offered independently of those services unless Alcorn Financial expressly agrees otherwise in writing.
2. Relationship to Alcorn Financial Services
Use of the Integration does not independently establish the full scope of services Alcorn Financial will provide.
The scope, responsibilities, fees, deliverables, and other terms of Alcorn Financial's professional services may be governed by a separate engagement letter, service agreement, statement of work, or other written agreement.
If a function is technically available through the Integration, that does not necessarily mean Alcorn Financial has agreed to perform that function as part of Client's engagement.
3. Authorization to Access QuickBooks Online
Client authorizes Alcorn Financial to access Client's QuickBooks Online company or companies through Intuit's supported authorization mechanisms for purposes reasonably related to authorized services.
Client represents that the individual granting authorization has the authority to authorize access to the applicable QuickBooks Online account and company data.
Client may revoke the Integration through available QuickBooks or Intuit account controls.
Revocation may prevent Alcorn Financial from performing services that depend on QuickBooks access and may affect Alcorn Financial's ability to complete pending work.
Alcorn Financial may also suspend or disconnect the Integration when reasonably necessary for security, compliance, technical, contractual, or operational reasons.
4. Information Accessed
Depending on the services authorized and permissions available through QuickBooks Online, the Integration may access information such as:
- Company information;
- Chart-of-accounts information;
- Transactions and transaction details;
- Vendors and customers;
- Classes, locations, departments, or similar accounting dimensions;
- Financial reports;
- Invoices, bills, payments, deposits, expenses, journal entries, or other accounting records;
- Attachments and supporting information;
- Historical accounting information; and
- Other QuickBooks data reasonably necessary for authorized services.
Alcorn Financial seeks to limit access and functionality to what is reasonably necessary for authorized services and operational requirements.
Certain deployments or development stages may be configured as read-only. Other authorized implementations may support limited write, update, attachment, or related functionality when appropriate controls and authorization are in place.
These Terms do not represent that every current or future Alcorn Financial Integration will remain permanently read-only.
5. Client Responsibilities
Client is responsible for:
- Maintaining lawful and authorized access to its QuickBooks Online account;
- Ensuring the person authorizing the Integration has appropriate authority;
- Providing accurate and complete information reasonably necessary for Alcorn Financial's services;
- Informing Alcorn Financial of material changes that may affect the Integration or accounting treatment;
- Maintaining appropriate internal controls for Client's business;
- Reviewing matters requiring Client approval or business judgment;
- Protecting Client's own QuickBooks credentials and user accounts; and
- Promptly notifying Alcorn Financial of suspected unauthorized access, compromised credentials, or material errors related to the Integration.
Client remains responsible for business decisions made using accounting or financial information.
6. Restrictions
Client may not knowingly:
- Use the Integration for unlawful, fraudulent, abusive, or unauthorized purposes;
- Attempt to gain unauthorized access to Alcorn Financial's systems or another client's information;
- Interfere with or disrupt the security or operation of the Integration;
- Circumvent authentication, authorization, access controls, or technical restrictions;
- Reverse engineer or misuse proprietary Alcorn Financial systems except to the extent such restriction is prohibited by applicable law;
- Introduce malicious software or harmful code;
- Misrepresent authorization to access a QuickBooks company; or
- Use the Integration in a manner that violates applicable Intuit terms or applicable law.
7. Client Data and Ownership
As between Alcorn Financial and Client, Client retains its rights in Client's underlying accounting and business data.
Authorization of the Integration does not transfer ownership of Client's QuickBooks data to Alcorn Financial.
Alcorn Financial may create and retain workpapers, mappings, configurations, procedures, templates, software, validation logic, documentation, audit records, and other materials used to perform or support its services.
Nothing in these Terms transfers ownership of Alcorn Financial's preexisting or independently developed methods, software, systems, templates, processes, documentation, or intellectual property to Client unless separately agreed in writing.
Alcorn Financial's handling of Client information is also subject to Alcorn Financial's Privacy Policy and applicable service agreements.
8. Automation and AI-Assisted Processing
Alcorn Financial may use software, automated processes, machine-learning systems, or artificial-intelligence-assisted tools in connection with information obtained through the Integration.
Such tools may assist with activities including extraction, organization, classification, comparison, research, transformation, matching, validation, exception identification, and workflow execution.
Use of these tools does not eliminate Alcorn Financial's responsibility for the services it has agreed to perform.
Alcorn Financial may apply human review, accounting controls, validation procedures, approval requirements, or exception handling based on the nature and risk of a workflow.
Automated or AI-assisted systems may produce errors. Accordingly, Alcorn Financial does not represent that automated processing is infallible or appropriate for every accounting decision.
9. Security
Alcorn Financial uses reasonable administrative, technical, and organizational safeguards designed to protect information accessed through the Integration.
These may include secure authorization mechanisms, access controls, multi-factor authentication, restricted permissions, credential-management practices, encryption provided by applicable systems, logging, monitoring, validation procedures, and separation of development and production environments where appropriate.
No information system or transmission method is completely secure, and Alcorn Financial cannot guarantee absolute security.
Client should promptly notify Alcorn Financial if Client becomes aware of suspected unauthorized access involving the Integration.
10. Third-Party Services
QuickBooks Online and the Intuit developer platform are third-party services operated by Intuit Inc.
The Integration may also depend on other third-party infrastructure or service providers.
Alcorn Financial does not control and is not responsible for the independent operation, availability, security, terms, policies, changes, interruptions, or discontinuation of third-party services.
Changes made by Intuit or another provider may require Alcorn Financial to modify, restrict, suspend, or discontinue all or part of the Integration.
Client's use of QuickBooks Online remains subject to Client's agreements with Intuit.
11. Professional Services and Human Review
The Integration assists Alcorn Financial in providing services but does not replace professional judgment where professional judgment is required.
Automated output, accounting suggestions, classifications, matches, calculations, or other system-generated results may require validation or review before being treated as final.
Client acknowledges that certain transactions, exceptions, accounting treatments, or business circumstances may require additional information or human review.
Unless separately agreed in writing, use of the Integration does not constitute legal, investment, audit, or other services outside the scope of Alcorn Financial's agreed engagement.
12. Availability and Changes
Alcorn Financial may modify, improve, restrict, suspend, or discontinue features of the Integration at any time when reasonably necessary for technical, security, compliance, operational, third-party, or business reasons.
We do not guarantee that the Integration will operate continuously or without interruption, delay, error, or incompatibility.
Availability may depend on Intuit, internet connectivity, third-party services, authentication systems, API availability, maintenance, software changes, and circumstances outside Alcorn Financial's control.
Alcorn Financial may change technical methods used to provide substantially similar functionality.
13. Disclaimers
To the fullest extent permitted by applicable law, the Integration is provided as a tool used in connection with Alcorn Financial's services and is provided without guarantees of uninterrupted or error-free technical operation.
Alcorn Financial does not warrant that:
- The Integration will always be available;
- Third-party platforms will remain unchanged;
- Automated or software-generated results will never contain errors;
- Every accounting issue can be resolved automatically; or
- The Integration will identify every possible error, irregularity, fraud, or compliance issue.
Nothing in these Terms creates a guarantee of any particular financial, tax, business, compliance, or operational outcome.
14. Limitation of Liability
To the fullest extent permitted by applicable law, Alcorn Financial will not be liable under these Terms for indirect, incidental, special, consequential, exemplary, or punitive damages arising solely from use of or inability to use the Integration, including losses caused by third-party platform outages or failures outside Alcorn Financial's reasonable control.
Any liability arising from professional bookkeeping or other services provided by Alcorn Financial may also be subject to the limitations, allocation of responsibility, and other terms contained in the applicable service agreement.
Nothing in these Terms excludes or limits liability to the extent such liability cannot lawfully be excluded or limited.
15. Termination and Disconnection
Client may discontinue use of the Integration by revoking authorization through available QuickBooks or Intuit controls or by contacting Alcorn Financial.
Alcorn Financial may suspend or terminate the Integration when reasonably necessary, including because of:
- Termination or suspension of the underlying client engagement;
- Client request;
- Security concerns;
- Suspected unauthorized activity;
- Violation of these Terms;
- Technical or third-party platform changes;
- Legal or compliance requirements; or
- Discontinuation or material modification of the Integration.
Disconnection of the Integration does not automatically delete records that Alcorn Financial is permitted or required to retain for legitimate business, legal, accounting, security, contractual, or recordkeeping purposes.
Provisions that by their nature should survive termination, including provisions relating to ownership, disclaimers, limitations, retained records, and governing agreements, will survive as appropriate.
16. Governing Terms
These Terms will be interpreted together with Alcorn Financial's Privacy Policy and any applicable service agreement with Client.
If these Terms conflict with a separately executed service agreement concerning the same subject matter, the executed service agreement will control to the extent of the conflict.
If any provision of these Terms is determined to be unlawful or unenforceable, the remaining provisions will remain effective to the fullest extent permitted by applicable law.
17. Changes to These Terms
Alcorn Financial may update these Terms from time to time to reflect changes in the Integration, services, technology, third-party requirements, security practices, or applicable legal requirements.
When these Terms are updated, the effective date displayed at the top of this page may be revised.
Material changes may be communicated through other reasonable means when appropriate.
Continued authorization or use of the Integration after updated Terms become effective constitutes acceptance of the updated Terms to the extent permitted by applicable law and any applicable service agreement.
